How to Make a RFP Proposal for a Web Site Design Job

When I first started my own web design company I could not have been any more wet behind the ears.  I knew I could design some of the best sites for your money but I had almost no “business” experience.  Let’s be honest most web site specialist are some of the most intelligent people and are loaded with unbelievable artistic abilities but most lack some of the communication and business skill traits necessary to bring in new clientele.  Without new business you will program and design yourself broke!  The hardest steps in the process for me have always been the “business” side of the company, dealing with RFP’s, bids, proposals, contracts, maintenance agreements and any other formal legality’s.

One of the most important pieces of advice I could give someone in ANY field that is trying to drum up new business would be to portray yourself as professionally as possible.  Your image and how you present yourself will set you apart from the overwhelming competition.  The best way I can illustrate this would be using a resume as an example.  If Bill Gates and I both turn a resume into some Fortune 500 company and he has all his acclimations and obvious successes listed however has them hand written on a sheet of legal paper and I have my significantly less flashy qualifications professionally laid out with a well written cover letter who do you think stands a better shot at getting that job.  Believe it or not, I find it unlikely that anyone will even bother looking at the handwritten unprofessional resume.  Treat your business the same way.  Make sure you never get turned down for not being prepared or not looking professional.

My recommendation would be to get a template of documents that you think will suit your needs(i.e. website design proposals, contracts, letters, invoices, flow charts, estimates, etc.).  I purchased a program that has just about any type of document or proposal I could need for my web design firm.  I think I paid somewhere around $40 and I am provided with all the proper forms and documents necessary to run my web design business.  Most of these programs also include free updates when the documents are changed or reflect changes in the web design world.

The key is to let your talents do the talking and don’t let your inexperience and weaknesses trip you up!  Either hire someone to run your “business” or get the tools that can help you.
